A clean exit: what happens to your data when you leave

Anyone can make it easy to sign up. The real test of a partner is what happens when you leave. That is the moment you find out whether they respected your business the whole time.

Before you hand any part of your operation to an AI partner, ask how the relationship ends. A good answer sounds calm and specific. A bad one sounds vague.

You hold the keys¶

Because a trustworthy partner never held your passwords in the first place (see how a partner gets access), leaving is simple. You revoke the access you granted. There is nothing for them to hand back because they were only ever invited in, on your terms.

Deletion you can prove¶

Ask for your data to be removed and you should get more than a promise. A good partner deletes the document copies, index entries, and working files they hold, and gives you evidence of what was removed and when. Deletion you cannot verify is just a hope.

The honest limits¶

Trust also means honesty about what cannot be guaranteed. Some records are retained for legitimate business reasons, like invoices and contracts, and a good partner will tell you which and why. And no one can guarantee deletion from third-party systems they do not control. A vendor who claims total, instant, everywhere deletion is overpromising, and that should worry you more than the honest answer.

The one question to ask first¶

Before you sign anything, ask: "what happens to my data if I leave?" If the answer is clear, specific, and a little boring, that is a good sign. If it is a fumble, you already have your answer, and you have it before your data is involved.
